Seats apply only to Inbox. A seat lets a user chat with customers in Inbox. In Seats, assign seats to users, and see your allocated, used, and available seats.

With a parent account and sub-accounts, you can also limit seat usage for each sub-account. Only users with the Account admin role can manage seats.

NOTE

To get more seats, contact your account manager or Support.

To open Seats, select the Account settings icon (gear) in the web interface header, and go to Seats. The page has two tabs:

  • Seats: Assign seats and check usage.
  • Logs: Track changes to seat assignments.

Seats

The Seats tab shows an overview of:

  • Purchased seats
  • Seats assigned to users
  • Remaining seats
  • Inactive users with seats

Inactive users with seats includes users who were inactive for more than three months, and users who have a seat but no role. Select the number to open the list, where you can search, filter, edit user details, and remove seats one at a time or in bulk.

Under Accounts and assigned seats, the tab lists each account with its name, assigned seats, seat usage percentage, and seat limit. An account without a limit shows No limit. You can filter the list, or select Download report to export it.

To see the users of an account, expand the account. The list shows each user with a seat, with their name, role, last login, and seat assignment. To remove several seats at once, select the users, and use the bulk action.

Assign a seat

To assign a seat:

  1. Under Accounts and assigned seats, select Assign seat.
  2. In the Assign seats to users panel, search for or select the account.
  3. Find the user, and turn on the toggle next to their name. To unassign a seat, turn the toggle off.

Set seat limits

If you have a parent account with sub-accounts, you can set a seat limit for each account. A seat limit sets how many of your purchased seats an account can assign. An account without a limit can assign seats up to the number of seats purchased. When an account reaches its limit, it cannot assign more seats, so distribute your purchased seats based on what each account needs.

You get a warning when an account is close to its limit:

  • Up to 50 seats: at 85% usage
  • 51 to 100 seats: at 95% usage
  • More than 100 seats: at 97% usage

To set or update the limit of an account, select the edit icon next to it. To add a user to the account, select the add user icon. To remove the limit, select Remove limit.

Logs

The Logs tab records changes to seat assignments. Each entry shows who made the change, the event, the impacted user, the account, and the date. To narrow the results, search, or filter by account, date, or time.
